The role
We are seeking a detail-oriented and proactive individual to manage vendor documentation and ensure compliance with client billing requirements. The ideal candidate will be responsible for processing documents, maintaining communication with vendors and service providers, and monitoring work orders for documentation and portal compliance. This role plays a key part in supporting timely and accurate invoice submissions.
Additional Details:
- Salary range: PHP 30,000 – 35,000 monthly package
- Work schedule: Fixed Mondays to Fridays from 8 PM to 5 AM or 9 PM to 6 AM Manila Time following EST
- Work set-up: Onsite in Alabang, Muntinlupa (Madrigal Business Park)
Main Duties and Responsibilities:
- Process documents in the Document Queue, including uploading vendor paperwork to the client’s system.
- Monitor and update the Document Email Account, addressing errors and outdated information.
- Respond to all vendor statements, emails, and phone calls within 24 hours. • Contact vendors via phone and email to obtain any missing paperwork. • Create the Vendor Relations Compliance Report.
- Identify service requests missing required documentation from technicians/service providers.
- Make daily calls and send emails to service providers to obtain late, delayed, or missing paperwork.
- Monitor work orders/service requests for document and portal compliance, updating as needed to ensure readiness for client invoice submission (for billing review)
Essential Qualifications:
- Excellent verbal and written communication skills
- Prior BPO call handling experience, especially outbound campaigns
- Basic understanding of billing, invoicing, or compliance processes preferred
- Strong organizational skills and attention to detail
- Proven experience reviewing documents for accuracy, completeness, and compliance with internal or client-specific requirements
- Proficient in Microsoft Office Suite (e.g. Word, Excel) and document management systems
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Willing to work in our Alabang location
